Privacy policy

This policy explains what personal information Brightview Skylights Exeter collects when you use this website or ask us about a skylight or rooflight, why we collect it, who sees it and what your rights are. We keep it to what we need to answer your enquiry, survey your home, quote the work and carry it out.

The short version: we collect the details you give us, we use them to deal with your enquiry and your job, we do not sell them, and this website sets no advertising or analytics cookies.

Who we are

Brightview Skylights Exeter installs and replaces skylights and rooflights in homes in Exeter and the surrounding 30 miles. We are the controller of the personal information described in this policy under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

We are a service-area business and have no public premises, so there is no shop or office to visit. The way to reach us about anything in this policy is by email at info@brightviewskylightsexeter.co.uk.

What information we collect

We collect only what you choose to send us or what is needed to do the job. Depending on how you get in touch, that may include:

  • your name, email address and telephone number if you give one;
  • the address of the property where the work would take place, and the area you live in;
  • details of the room, roof and ceiling, and the type of rooflight you are considering;
  • photographs of the room or roof that you choose to send;
  • the content of your messages to us by email, WhatsApp or the quote form;
  • quote, survey, finish schedule, payment and guarantee records if you go on to become a customer.

We do not ask for special category information such as health details. Please do not include it in your messages. If you need to tell us about access needs in your home so that we can plan a visit, tell us only what is necessary.

How you give it to us

The quote form
The form on this website is provided by a third-party customer relationship management (CRM) provider. What you type into the form goes to that provider, who stores it on our behalf so that we can see and answer your enquiry.
WhatsApp
If you choose to message us on WhatsApp, your messages, your phone number and any photographs you send pass through WhatsApp, which is operated by Meta. We see your number and the conversation.
Email
If you email us, we keep the message and our replies in our email account.

We also receive basic technical information when your browser requests a page, such as your IP address, in the ordinary server logs kept by our website host. We use these logs to keep the site running and secure, not to profile visitors.

What we use your information for, and our lawful basis

UK GDPR requires us to have a lawful basis for each use of your information. These are ours.

  • Answering your enquiry and preparing a quote. Lawful basis: steps taken at your request before entering a contract, and our legitimate interest in replying to people who contact us.
  • Carrying out the work. Surveying, scheduling, installing, finishing, invoicing and handling the Building Control notification. Lawful basis: performance of our contract with you.
  • Keeping records of work and the guarantee. Lawful basis: performance of our contract, and our legitimate interest in being able to honour the workmanship guarantee.
  • Meeting legal obligations. Keeping accounting records, and passing details to Building Control where the work is notifiable. Lawful basis: legal obligation.
  • Dealing with complaints, claims and disputes. Lawful basis: our legitimate interest in protecting our legal position and putting things right.
  • Keeping the website and our systems secure. Lawful basis: our legitimate interest in security.

We do not use your information for automated decision-making. We do not send marketing emails or messages unless you have asked us to, and you can ask us to stop at any time.

Who we share it with

We share your information only where it is needed, and we do not sell it. The recipients are:

  • our CRM and quote form provider, which stores enquiries for us;
  • WhatsApp and Meta, if you choose to contact us that way;
  • our email and website hosting providers, who process data on our behalf;
  • Building Control, the local authority or a registered building control approver, where we notify work on your behalf;
  • our accountant and payment providers, for invoicing and bookkeeping;
  • the rooflight manufacturer, if you ask us to help with a warranty claim;
  • professional advisers, insurers, courts or regulators, where the law requires it or we need advice on a dispute.

Some of these providers may process information outside the United Kingdom. Where they do, we expect them to use a recognised safeguard, such as the UK's approved international transfer mechanisms, so that your information keeps an equivalent level of protection.

How long we keep it

We keep information only as long as we need it for the reason we collected it.

  • Enquiries that do not lead to a job: we keep them for a limited period in case you come back to us, then delete them.
  • Customer records, finish schedules and job photographs: for the life of the 10-year workmanship guarantee and a reasonable period afterwards, so that we can deal with any claim.
  • Accounting records: for the period the law requires.
  • Complaint records: for as long as needed to resolve the complaint and then for a reasonable period in case of follow-up.

If you would like us to delete an enquiry earlier, email us and we will do so unless we have to keep it for a legal reason.

Cookies

This website sets no advertising or analytics cookies, and we do not use tracking pixels. The site uses only strictly necessary cookies, and the embedded quote form, supplied by a third party, may set its own. Our cookie policy explains this in full.

Your rights

Under UK data protection law you have the right to:

  • be told how your information is used, which is the purpose of this policy;
  • ask for a copy of the personal information we hold about you;
  • ask us to correct anything that is wrong or incomplete;
  • ask us to delete your information, in some circumstances;
  • ask us to restrict how we use it, in some circumstances;
  • object to uses that rely on our legitimate interests;
  • receive information you gave us in a portable format, where we process it by automated means under a contract or with your consent;
  • withdraw consent at any time, where we rely on it.

To use any of these rights, email info@brightviewskylightsexeter.co.uk. We may need to confirm who you are before we act on a request. We aim to reply within one month, as the law requires, and we do not charge for ordinary requests.

Complaints and the ICO

If you are unhappy with how we have handled your information, please tell us first so that we can try to put it right. You also have the right to complain to the Information Commissioner's Office, the UK data protection regulator, at ico.org.uk. Complaints about our work rather than your data are covered by our complaints procedure.

Changes to this policy

We may update this policy when our practices or the law change. The date below shows when it was last reviewed. If you have a live quote or job with us and we make a significant change, we will tell you.
